Thank you for helping us make a difference by being a Sponsor/Vendor at the inaugural HotRods ‘N Helos presented by Optimum First Mortgage! All proceeds go towards supporting the Huntington Beach Police Officers Association and their 42 Foundation.
Below are important details pertaining to logistics for our show taking place Sunday, March 30th, 2025. Please be sure to read this email completely.
Address
Arrival for setup on Saturday late afternoon or Sunday morning will be to enter the lot at the Huntington St and Pacific Coast Hwy entrance. Please use this address as a GPS reference – 21351 Pacific Coast Hwy, Huntington Beach, CA 92648. Please see Main Event Entrance Map below:

Logistics
Option 1 Load-In Time – Vendor/Sponsor Booths
Saturday, March 29th, 4:15 PM – 7:15 PM.
All support vehicles and people must leave the lot no later than 7pm
*We will have security overlooking the lot overnight

Option 2 Load-In Time – Vendor/Sponsor Booths
Sunday, March 30th, 6:00 AM – 8:30 AM
*Please be on time as no Vendors will be allowed to set up after 9:15 AM. All vendor display cars must be placed no later than 9:30 am. All trailers, flatbeds, and support vehicles must exit the lot no later than 9:30am. Trailer parking is available for $30 each day at your own expense in the adjacent State Beach Parking Lot which is located at Beach Blvd and Pacific Coast Hwy entrance. No Overnight Trailer Parking. Parking charges by the City may apply elsewhere. Please see Trailer and Support Vehicle map below:

Setup
As we get closer to the event, you will receive additional details regarding the event map/layout, as well as information about Hospitality Zone passes as applicable. Once you arrive, our staff will direct you to your exhibition space. Your space will be clearly marked on the ground and you can setup your activation space how you like only within the marked boundaries. If you need power, you will need to provide your own generator (Noise Level* in decibels 40-73 dB(A)). You must provide your own tent, tables, chairs, etc. We are providing the space. Please look for the HotRods ‘N Helos staff to guide you to your designated setup area. All setup support vehicles must be moved out of the event space no later than 9:15 AM.

The event will end promptly at 3pm and tear down can begin at that time.
